Management of Personal Data

In Lunds Aikidoklubb, we collect personal data when you and/or your child become a member of us. Personal data is processed in accordance with applicable laws and regulations in accordance with the General Data Protection Regulation (GDPR).

Personal data is used in the work with:

  • Presence reporting
  • Application for grants and LOK support
  • Payment of membership and training fees
  • Information on current events at the club
  • Grading organisation
  • Insurance cases in case of injury during exercise
  • Statistical measurements of, for example, the association is a member of

Your rights

You have the right at any time:

  • Learn what personal data is stored about you
  • Request correction of incorrect data
  • Learn how your personal data is used and who can share it
  • Request that your personal data be erased from our systems
  • Get the information we have registered about you (data portability)

Please note that a request for deletion also means termination of the membership.

You also have the right to lodge a complaint with the Integrity Protection Authority (IMY) if you consider your personal data to be mishandled.

Who can share your data?

Within the club, personal data is mainly handled by our instructors when receiving new members and when reporting the presence. The club’s board handles the data for other purposes.

Your data is recorded in the following systems outside the association:

  • Municipality's system of presence reporting and application for grants and LOK support
  • IdrottOnline – National Sports Federation system for member registration, statistical basis and insurance matters
  • Club email service – external information mailing service

Your personal data is not shared with third parties, except for the systems required for the association’s operations, such as the municipality of Lund and the Swedish Sports Federation’s system.

Storage of Personal Data

Personal data in the member register is deleted at the latest 24 months after completion of membership.

However, e-mail addresses can be saved longer in a separate contact list in order to send a single information mail about the association’s activities to former members. The recipient may request to be removed from this list at any time.

The Data Controller is Lunds Aikidoklubb's Board of Directors.

Other

Lunds Aikidoklubb follows the guidelines set out by the Swedish Sports Federation.

If the association becomes aware of any leakage of personal data or data breach, the persons concerned will be informed as soon as possible.
